This Policy explains what information Poolah collects, including phone numbers used for job-related text messages, and how it is used, shared, and protected.
1. Overview
This Privacy Policy explains how Poolah collects, uses, shares, and protects information when contractors, trade partners, and clients use our website, dashboards, client tracking pages, checkout flows, and related services.
By using Poolah, you agree to the collection and use of information as described in this Policy.
2. Information We Collect
Account information: name, email address, company name, and phone number provided by contractors when creating a Poolah account.
Job and contact information: client and trade partner names, phone numbers, project addresses, job scopes, quotes, invoice amounts, and photos that a contractor enters or uploads while using Poolah.
Payment information: Stripe processes payment details directly; Poolah does not store full card numbers or bank account numbers. We do store Stripe account identifiers, payout amounts, and transaction status needed to operate the service.
Communications: message content and delivery status for SMS and email sent through Poolah (for example, onboarding links, milestone updates, and payout notifications), and any inbound replies sent to our messaging numbers.
Usage information: standard technical data such as IP address, browser type, and pages visited, collected automatically to keep the service secure and reliable.
3. How We Use Information
To operate core features: creating jobs and quotes, tracking milestone status, coordinating trade partner payouts, and generating client-facing tracking pages and invoices.
To send transactional SMS and email, for example a trade partner's Stripe payout setup link, a milestone-completion confirmation, or a payout-ready alert to an operator. Poolah does not send marketing or promotional text messages, and phone numbers collected for a job are used only for communications related to that job.
To process payments and payouts through Stripe, including verifying trade partner identity as required for Stripe Connect onboarding.
To maintain, secure, debug, and improve the service, and to comply with legal obligations.
4. SMS and Phone Number Use
Contractors provide the phone numbers of their trade partners and clients directly in the Poolah app when starting or managing a job. By providing that number for a job, the contractor represents that they have the right to share it with Poolah and that the recipient has agreed to receive job-related text messages from that contractor through Poolah.
Text messages sent through Poolah are transactional: Stripe onboarding/payment setup links, milestone status confirmations, and payout notifications. We do not sell phone numbers or use them for advertising.
Message and data rates may apply. Reply STOP to opt out of messages at any time, or HELP for assistance. Opting out of SMS may limit a contractor's ability to coordinate a job through text-based milestone updates.
No Mobile Sharing: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. How We Share Information
With service providers who help us operate Poolah, including Stripe (payments and payouts), Twilio (SMS delivery), Resend (email delivery), Neon (database hosting), and Cloudflare (file/photo storage). These providers only receive the information needed to perform their function and are bound by their own terms and privacy practices.
With the contractor's own clients or trade partners, to the extent necessary to display job status, quotes, invoices, or tracking pages that the contractor has chosen to share.
To comply with law, respond to legal process, prevent fraud, or protect the rights, property, or safety of Poolah, our users, or others.
We do not sell personal information to third parties.
6. Data Retention
We retain account, job, and transaction information for as long as needed to provide the service, meet legal and tax obligations, and resolve disputes. Message logs and delivery records are retained for a limited period for support and compliance purposes.
7. Data Security
We use reasonable technical and organizational measures to protect information, including encrypted connections and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Choices
Contractors can update or remove account and job information within the dashboard, or by contacting us directly. Trade partners and clients who receive a text message from Poolah on a contractor's behalf can reply STOP to that number to opt out of further messages, or contact the contractor directly to request their information be removed.
9. Children's Privacy
Poolah is intended for business use by contractors, trade partners, and their adult clients. Poolah is not directed to children, and we do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of Poolah after an updated Policy is posted means you accept the updated Policy.
